Brockstedt Mandalas Federico (“BMF”) is seeking a detail-oriented, organized Office Manager with financial experience to join our Baltimore office, which is located in the picturesque Quarry Lake Office Complex. 

At BMF, you’ll play a vital role in managing office operations, overseeing financial processes, supporting case progression, and ensuring our clients receive exceptional service throughout their legal journey.

The duties of the position will include the following:

Office Management

  • Serve as the main point of contact for facility vendors, buildings, and contractors
  • Oversee conference room calendar and manage reservations to avoid conflicts
  • Coordinate facility-related logistics
  • Attend weekly admin meetings and prepare agenda items in advance
  • Organize office lunches and special events to foster team spirit
  • Conduct weekly supply inventory and manage ordering processes
  • Ensure compliance with OSHA rules, FMLA labor law requirements, and Maryland IOLTA attorney reporting
  • Supervise the receptionist, including training, support, and timecard approval

Financial Management

  • Serve as the Mass Tort department’s financial point person, processing invoices, receipts, settlement disbursements and managing expense reports
  • Prepare and manage settlement sheets, coordinate signatures, and oversee check disbursements to clients and co-counsel
  • Monitor budget expenditures, analyze variances, and identify cost-saving opportunities
  • Coordinate travel arrangements, process invoices, and manage conference registrations
  • Identify and resolve potential liens, analyzing validity and gathering supporting documentation

Administrative Support

  • Coordinate new employee onboarding, including key distribution and desk setup
  • Manage business card orders and office supplies
  • Maintain postage machine and arrange phone coverage when receptionist is out
  • Handle various facility needs including furniture assembly, general maintenance, and holiday decorating
  • Contribute to a collaborative team environment while handling multiple priorities efficiently

Qualifications

  • Experience matters: 2+ years of experience in office management, preferably in a legal setting
  • Financial aptitude: Experience with settlement processing, expense tracking, and budget management

BMF offers a comprehensive benefit package to include, healthcare, vision & dental, short- & long-term disability, 401k and more. Salary range is $65,000 to $75,000 depending on qualifications.
